Event Planning
  • Complimentary consultation with potential client
  • Proposal of work for review and agreement
  • Develop event budget with itemized fundraising goals
  • Present proposals for venue selection and coordinate all pre-event meetings
  • Create and manage regularly updated event responsibility lists for client
  • Conduct meetings with the event chairs and planning committee
  • Research and present proposals and quotes to client for various event rentals, décor and floral
  • Work with the event venue or caterer to make decisions with client on the food and beverage menus
  • Secure Band, DJ, event emcee and/or speakers and provide approved script about client for the event
  • Secure and manage all event vendors, review contracts and obtain client approval and signature
  • Create diagram of tables with assigned guest seating and create venue floor plan for event set up
  • Secure silent and live auction items and raffle prizes from client’s contacts
  • Manage silent auction, live auction and raffle item set up and tear down
  • Create pre-event silent auction and raffle preview on Power Point slide show with item descriptions to entice guests to bid
  • Recruit volunteers from client’s contacts to assist before, during and after event
  • Assist with post-event duties: vendor payments, thank you notes to volunteers and sponsors, and tax receipts for guests
  • Create recap of the event with client to show event success
  • Report ideas for event improvement and help secure next event date and venue
Event Marketing and Promotion
  • Secure event photographer and share post-event photos on social media from client and CCB Events
  • Write content and post approved event messaging on social media from client and CCB Events
  • Promote client’s event on the CCB Events company website
  • Write and post approved event promotional content for social media, e-newsletters and website
  • Draft sponsorship materials with list of benefits and use to secure event sponsors with client’s contacts
  • Promote table and ticket sales to client’s contacts on social media to help reach fundraising goal
  • Draft press releases for pre-event distribution to promote attendance and for post-event distribution to celebrate success
  • Manage the creation, design, print and production of all event materials including invitation and graphics for web
  • Use client’s customer relationship management program to promote the event
Day of Event Responsibilities
  • Camille Cain Barnes of CCB Events will serve as the Event Director
  • Event day coordination of venue set up, all vendors, deliveries, guest registration, auction, guest check-out, venue tear down
  • Manage all volunteers
